Accounting and Finance Team

Location, Contact Info, and Staff

The UO SOMD’s Accounting Office is located in room 219F of the Frohnmayer Music Building (FMB), on the second floor administrative hallway.

The team consists of two staff members:

Primary Support Areas

University Funds

Funds received by university employees and students (including awards, teaching, ASA, professorships) are either state or UO Foundation monies, and are subject to numerous rules, regulations, and policies. Purchases made by employees, including computers and peripherals, are UO property. 

Employees and students are encouraged to consult accounting staff members before making hires, contracting, purchasing, or making any other plans with UO funds. This will ensure that any payments, reimbursement, transfers, etc. will go as smoothly as possible when the time comes. These may include the following.

Travel

Travel with UO funds must have benefit to the UO, and must follow all relevant UO travel guidelines. Employees and students are encouraged to consult accounting staff members before making plans.

Contracts

Employees are encouraged to work directly with accounting staff members at the time they confirm the intention to contract with an individual, organization, or company. Having the contract in place before services begin is imperative, and faculty should ensure their budgets include enough funds to support all travel, lodging, honoraria, marketing, and event costs.

When a UO employee signs a contract for these services, they are personally liable.

Personnel/Hiring Students

Employees are encouraged to work directly with accounting staff members to ensure the person they wish to hire falls within an employable category (for example: current full-time student? US citizen? GE?)  

Because of numerous misunderstandings in recent years, the accounting staff has implemented a Request to Hire a Student form that must be completed and approved before the student can be hired and paid.

Graduate Employees (GEs) cannot be asked to work outside of their contracted full-time equivalent (FTE). Faculty members should ensure the Graduate Music Office and Accounting Office are involved, and that the form has been completed. Lack of compliance can result in faculty paying for hours worked out of personal (non-UO) funds. 

Work with the Office of the Dean for any unclassified (faculty or Officer of Administration) HR and payroll questions.

Music Reception Desk

Must be informed for just about everything transpiring in the Frohnmayer Music Building (high school visits, large deliveries, permission for office access, etc). If you have a question or need to inform the front desk about anything, email or stop by.

The Bottom Line

We are all employees and/or students of the School of Music and Dance, the University of Oregon, and the State of Oregon; everything we do on the job requires knowledge of the various rules, regulations, policies, and procedures that we are govern academic and creative activities. 

The accounting staff members know this information, or know where to find answers not readily available. Please use their expertise and plan ahead. The accounting staff is oftentimes spread thin, and spending hours and or days to unraveling something that has already occurred can result in time wasted.
